Planning guide

What does a Teams room installation cost?

There is no honest single figure — it depends on your room, what you already have and how much of the work you want us to do. This guide explains what drives a quote so you can plan a realistic budget. Any indicative pricing elsewhere on this site is a guide only, not a verified quote.

What affects the price

Two rooms with the same headcount can be quoted very differently. The main drivers are:

  • The device bundle — an all-in-one bar costs differently from a Windows system with separate compute and console
  • Displays — reusing a suitable screen versus buying one or two new displays
  • Mounting — wall type, display height, brackets and whether furniture needs adapting
  • Cabling — whether network, power and table connections already exist where needed
  • Licensing — Microsoft Teams Rooms licences are usually bought separately through your Microsoft agreement
  • Extras — wireless sharing, scheduling panels or additional microphones
  • Scope of service — supply only, supply and install, or full commissioning and handover
  • Access — out-of-hours work, parking, lifts and site rules

Can we reuse our existing screen?

Often yes, which can reduce cost. We check:

  • It has a working HDMI input and is in good condition
  • It is large enough for the furthest seat to read shared content
  • Its mount and height suit the camera position
  • It can wake and switch input reliably when a meeting starts

Site readiness

Getting these ready before install avoids return visits:

  • Wired network point at the display, and at the table if a console is used
  • Power outlets at the display and table positions
  • Firewall rules allowing Microsoft Teams traffic
  • A Microsoft 365 resource account and licence for each Teams room
  • Somebody with admin rights available on install day for sign-in

When a site survey helps

Many standard rooms can be reviewed online with photos and dimensions. A survey is worth it when:

  • Walls are glass, partition or need reinforcement for mounting
  • New cabling routes through ceilings, floors or furniture are needed
  • The room is large, divisible or has unusual acoustics
  • You are planning several rooms and want consistent standards
